Cake and a Cuppa host’s checklist

Use this handy host checklist to make sure everything goes according to plan

  1. Decide how, when, and where: Choose whether your Cake and a Cuppa will be a social gathering with friends and family, a get together with colleagues at your workplace or an event inviting the wider community to come along. Events can be hosted anytime throughout the year.
  2. Decide how to raise money: Ask guests to donate to your fundraising page to attend, take donations on the day and pay the proceeds in.
  3. Recruit helpers: If needed, enlist friends to help you organise your Cake and a Cuppa event.
  4. Write a press release: Help to raise awareness of your event and Brain Tumour Support by drafting a press release for the local press. Include full details about the event, why you’re hosting it, and how the community can participate.

Promoting your event

  1. Send invitations: Add your details to the Cake and a Cuppa invite template or create your own to get the date in everyone’s diaries. Plan for follow-ups and reminders.
  2. Personalise your JustGiving online fundraising page: A JustGiving page is a simple way to both collect donations and promote your fundraising. Share your page with others, explaining why you are hosting a Cake and a Cuppa. Use our fundraising materials and downloads to help spread the word.

On the day

  1. Decorate: Print out and hang our special Cake and a Cuppa bunting, and gather decorations to make your Cake and a Cuppa event look inviting
  2. Donation containers: Print out our donation container label and place the container in a prominent spot. Don’t be afraid to ask for donations!
  3. Information posters: Pin up Cake and a Cuppa and Brain Tumour Support posters so guests can learn more about the cause.
  4. Activities: Include games, raffles, or team-building activities to enhance your event.

After your event

  1. Leftover treats: Box up any leftover treats for guests to take away in exchange for a donation.
  2. Pay in donations: No further action is needed if you’ve collected donations through your fundraising page. For cash donations, visit our website for instructions on how to deposit offline donations.
  3. Celebrate your success: Print off your ‘thank you’ poster to share your achievements with everyone who participated. You could also share this via email or on your socials.
  4. Post-event press release: Write a press release to send to the local press, highlighting the success of your event, the total amount raised, and thanking participants and supporters.

Top tip

Many people don’t carry cash these days. From your JustGiving dashboard, you can create a QR code linked to your fundraising page. Print this and stick it onto a collection container, alongside the collection container label – It gives another easy way for people to donate to make your event tea-riffic!
